SOLARA RETREATS

Privacy Policy

A thoughtful approach to your privacy.

Last updated: 30 October 2026

Your privacy matters.

From how we engage to your time on the site, this policy explains how your information is collected, used, and kept safe.

01

About this policy

This Privacy Policy explains how Solara Retreats handles personal information when you visit our website, contact our team or arrange a stay in the Algarve, Portugal. Solara Retreats is responsible for the personal information described here. For questions about this policy or your information, email hello@solararetreats.com.

02

Information we collect

When you enquire, we collect the details you provide, such as your name, email address, telephone number, travel dates, guest numbers, accommodation preferences and correspondence. A confirmed reservation may require billing and guest-registration details.

Please share only information needed for your request. Dietary, accessibility or wellness preferences may reveal sensitive information. Provide other guests’ details only when authorised; a parent or guardian should provide children’s information.

03

How we use information

We use enquiry and reservation information to take steps at your request and perform our agreement with you. Guest registration and financial records may be processed to meet legal obligations. Our legitimate interests include protecting the website, managing correspondence and resolving complaints, balanced against your rights.

Newsletter subscriptions and optional tracking rely on consent. Where special-category information is needed to arrange a requested service, we seek explicit consent or identify another lawful basis before processing it. Declining optional information does not prevent an enquiry, although we may be unable to fulfil a related request.

04

Who we share it with

Relevant information may be shared with authorised team members and providers supporting website hosting, communications, reservations, payments or experiences you request. Providers acting for us receive appropriate instructions and access only for their agreed services. Some providers act as independent data controllers under their own privacy notices.

We may also disclose information where required by law or necessary to establish, exercise or defend legal claims. Please contact us for details of recipients relevant to your enquiry or booking.

05

How long we keep data

We keep enquiry details for as long as it takes to handle your request and for up to 24 months afterwards. Booking records are kept for the period required by Portuguese tax and accounting law.

When the retention period ends, we delete or anonymise the data.

06

Cookies & preferences

Essential cookies and similar technologies support core website functions. Optional analytics or marketing technologies require your prior consent where applicable. Cookie information presented when you make your choice should identify each technology’s provider, purpose and duration.

You may decline optional cookies and withdraw consent through the website’s cookie controls. Your browser can also restrict cookies, although this may affect some functions. Withdrawing consent does not affect earlier lawful processing.

07

Keeping data secure

We use encryption, access controls, and trusted providers to protect your information. No system is completely secure, so we also limit what we collect in the first place.

08

International transfers

If a provider processes personal information outside the European Economic Area, an appropriate legal transfer mechanism and any necessary safeguards must apply. These may include an adequacy decision or approved contractual safeguards. You can contact us for information about the arrangements relevant to your data and how to obtain a copy of applicable safeguards.

09

Your privacy rights

Depending on the circumstances, you can request access, correction, erasure, restriction or portability of your information, and object to processing based on legitimate interests. You may withdraw consent at any time and object to direct marketing.

Email hello@solararetreats.com to exercise your rights. We may need proportionate information to verify your identity. Requests are normally answered within one month; we will explain any permitted extension. You can also complain to Portugal’s Comissão Nacional de Proteção de Dados at cnpd.pt, or another competent supervisory authority.

010
