Before you arrive.

Please take a moment to read the information below when planning your stay. Your individual booking offer confirms the details that apply to your reservation.

01

About these terms

These Terms & Conditions apply to your use of the Solara Retreats website and form part of the information provided for reservations in the Algarve, Portugal. Read them together with your booking offer, rate conditions and written confirmation. Mandatory consumer rights continue to apply.

If anything is unclear, contact hello@solararetreats.com before confirming your stay.

02

Booking your stay

An availability enquiry or submitted form is a request, and does not by itself confirm a reservation. Your booking is confirmed when our team issues written confirmation and any payment required to secure it has been received under the agreed offer.

The person making the reservation must have legal capacity to enter the agreement and authority to act for the guests included. Please check names, dates, accommodation and guest numbers in your confirmation and tell us promptly about any errors.

03

Prices & payments

Your offer will identify the booking currency, price, included services, applicable taxes, any separately payable local charges and payment deadlines before you commit. Services not expressly included may carry an additional charge, which should be agreed in advance.

Any deposit, balance payment or security-deposit requirement must be set out in the booking offer. Use the payment method and instructions supplied with your reservation, and contact our team if you need to verify them.

04

Changes & cancellations

Cancellation deadlines, refund eligibility, amendment fees, no-show charges and early-departure conditions depend on the rate you choose. These conditions must be provided before you accept the booking and recorded in your confirmation. Please send change or cancellation requests to hello@solararetreats.com as soon as possible.

Accommodation booked for specific dates generally falls outside the statutory 14-day cooling-off right. The cancellation conditions you accepted and any other applicable consumer rights determine your entitlement. Always check the cancellation conditions in your booking offer before confirming.

05

Arrival & departure

Your confirmation or pre-arrival information will set out check-in and check-out times, arrival instructions and any guest-registration requirements. Early arrival, late departure and additional guests need prior agreement and may involve a disclosed charge.

Let our team know about access needs or special arrangements in advance so we can discuss what is available. A request is confirmed only when we have agreed it with you.

06

During your stay

Please respect the accommodation, other guests, neighbours and the house rules supplied for your stay. Keep within the agreed occupancy and follow safety instructions for pools, coastal areas and shared spaces. Parents and guardians remain responsible for supervising children in their care.

Tell our team promptly about damage or maintenance concerns. Any claim for damage or additional cleaning must be reasonable, supported by the circumstances and consistent with the booking agreement and applicable law; normal wear and tear is excluded.

07

Wellness & experiences

Treatments, dining, transfers and private or guided experiences are subject to availability and the inclusions or separate charges agreed for your reservation. Some services may be delivered by independent providers whose terms will be supplied where relevant.

Wellness activities are intended for relaxation and general wellbeing. Please discuss suitability and access requirements before booking. Outdoor activities may need to change because of weather or safety conditions; we will explain available alternatives and any applicable refund.

08

Changes by Solara

If an important part of your confirmed stay becomes unavailable, we will contact you promptly to explain the change and discuss appropriate alternatives or a refund for services that cannot be provided, as required by the agreement and applicable law.

Events outside reasonable control will be addressed case by case. We will communicate the effect on your booking and take reasonable steps to reduce disruption. Your mandatory rights remain in place.

09

Using our website

Website content is provided to help you explore the retreat and make enquiries. Photographs are illustrative; the accommodation and inclusions in your accepted booking offer determine your reservation. Please ask us to clarify any feature that is essential to your stay.

Website text, photographs, branding and design are owned by Solara Retreats or used with permission. Do not copy them for commercial use without authorisation, misuse forms, interfere with the website or attempt unauthorised access.

010

Rights & governing law

Each party’s responsibility for loss or damage is determined by the booking agreement and applicable law. Nothing in these terms excludes liability that cannot legally be excluded, or limits mandatory consumer rights.

Portuguese law applies, without depriving consumers of mandatory protections that apply in their country of habitual residence. Jurisdiction and access to consumer remedies are determined by applicable law; these terms do not require you to give up a protected right to bring a claim.

011

Contact & concerns

For booking questions, changes or concerns, email hello@solararetreats.com. Include your reservation reference, relevant dates and a short explanation so our team can help. Please raise problems during your stay where possible, allowing us a reasonable opportunity to respond.

Updates to these terms apply to future bookings. The terms accepted when your reservation was confirmed continue to govern that booking, unless a lawful change is agreed with you.

Our team is here to help.
